Office & Administrative Manager

We are currently looking for a savvy Office & Administrative Manager to grow with our fast-paced and vibrant company.  The position - Office & Administrative Manager - is an exciting one.  It will offer daily variety, close interaction with the company's CEO, and challenges that are unorthodox to the standard office manager roles.



What you’ll do - A Real Jack-of-all-Trades:


CEO Support

Responsible for planning and executing tasks and special projects to keep the CEO productive and organized which include activities such:

  • Managing calendars and appointments, and travel arrangements

  • Drafting correspondence, preparing data and surveys to support the management team and executive decisions.

  • Conduct research on various topics and prepare reports as needed

  • Running errands and liaising with 3rd parties on delegated matters

  • Managing technology accounts (Google Apps, Slack, etc), and a variety of ad hoc tasks

  • Researching and purchasing items for the CEO from shops, suppliers or vendors


Office Management

This includes the day-to-day management of the office including:

  • Measure and improve employees and office visitors satisfaction from the presence in the office regarding: F&B, facilities cleanliness, furniture & equipment, and physical security)

  • Develop and implement policies and procedures to ensure facilities order, physical security and smooth office experience for employees and guests

  • Staying ahead of maintenance and making sure that we have a cycle of repairs and maintenance that optimizes cost and employee productivity

  • Understanding supplies and equipment needs for the company and ordering them in a timely manner.

  • Researching and managing office vendors (F&B, resources, utilities…etc). 

  • Support the people team as needed in implementing  initiatives to improve employee satisfaction in the office



What you’ll need:

  • Highly interested specifically in support and operational roles

  • Proven experience as an Executive Assistant, Personal Assistant, CEO Executive or similar role

  • Strong time and task management skills and expect to deliver your work on time every time

  • Can handle confidential information with discretion and professionalism

  • Love attention to detail and taking initiative to solve problems, no matter how big or small

  • Resourceful, and are happy to take direction or figure something out yourself

  • Want to be challenged at work and be held accountable to high expectations.

  • You are an excellent communicator in verbal and written forms; familiar with GSuite, Slack, document writing, slides preparation..etc

  • You have mastery of the English language with the ability to produce business correspondence, proofread for grammar, spelling and punctuation with a high degree of accuracy

  • You are passionate about making a difference in the community and take pride in it
